Syncing Folder/Label Structures in Keeper Emails

Ensuring complex folder/label structures are properly updated and maintained in Keeper Emails.

Updated this week

To better support large or complex folder/label setups, Keeper Emails now caches your folder/label structure when an inbox is connected, helping improve performance and prevent sync issues with large or complex inboxes.

✅ What’s new?

We’ve introduced folder/label caching for all email inboxes connected to Keeper. This means:

  • Your folder/label structure is saved when you connect an inbox.

  • You can manually refresh your folder/label at any time.

  • Syncing now works even with large or extra complex structures.

  • You’ll see helpful indicators during sync so you know when things are ready.

🔄 How folder syncing works

🧩 When you connect a new inbox:

  • Keeper will automatically sync your folder/label structure.

  • You’ll see a banner letting you know syncing is in progress.

  • That specific inbox will be temporarily unavailable until sync finishes.

  • Other connected inboxes remain usable during this time.

📬 For inboxes already connected:

  • If your inbox was connected before this update, Keeper will sync your folder/label structure the next time you use Keeper Emails.

  • These inboxes remain usable while syncing occurs in the background.

🔁 Refreshing folders manually:

  • You can click the “Refresh folders/labels” option from the inbox page at any point to ensure your folders/labels are up-to-date.

⚠️ Sync status indicators

  • While syncing, the folder’s sync icon will spin, and a banner will appear.

  • Once syncing is complete, the folders appear in the sidebar and can be used immediately—no need to reload the page.

  • If syncing fails, you’ll see an error message with the next steps.

💡 Best practice: Create folders in Keeper

While folders/labels created in your email client (like Gmail or Outlook) will be pulled into Keeper on next sync, we recommend creating new folders/labels directly in Keeper for the most seamless experience. This avoids delays and ensures instant availability.

📌 FAQs

Can I use my inbox while folders are syncing?
Only if it's an existing connection. New connections are locked until the folder structure finishes syncing.

What if I have multiple inboxes?
Each inbox syncs independently. Only the one being updated is temporarily locked.

Will I see when my folders were last synced?
Yes, the tooltip of the "Refresh" button will show you when your folders/labels were last synced in Keeper.
