Month-end close basics

Creating Closes

Admin users have the ability to create close periods for prior months, as well as current and upcoming months (for the following month).

From the Client List

  1. Select More Information to expand the client (arrow to the left of the client's name)

  2. Choose to Create previous closes or + Start MM 'YY Close

    Each close period will import the previous 12 months of transactions

If you're an admin, you can create the Current and Upcoming close in bulk for all of your clients by clicking the Create Closes button.

This action cannot be undone once the closes are added in bulk. However, if you need to delete a close that was created in error, you can manually delete the close(s) individually. Only Admin users have the ability to delete closes.

From the close page

  1. Go to the close date at the top of the close

  2. Select the carrot to the right of the close date

  3. Choose to Create previous closes or + Start MM 'YY Close

    Each close period will import the previous 12 months of transactions

Heads up! If you are working on a Cleanup have added a client as an Unconnected Client that you plan to convert them to QuickBooks Online, do not add prior-year closes until you have converted them.

Here's why:

  1. When you add an Unconnected client, it does not yet have any file review tasks (because there is no file to review).

  2. When you then connect a client, we add those file review tasks to the latest close of the client automatically.

  3. When you create an older close in Keeper, we copy the tasks from the latest close to the older close.

So if you create the older close before you connect the client, it will not have any review tasks, and connecting the file will not fix this.

If you do this, don't fret - it's an easy fix! Simply delete and re-add the close for the older period (e.g., December 2023) and re-add it. This will copy the tasks from the latest close, which will contain all your review tasks.


Viewing Past Closes

From the client list

To see older closes, find the client you are looking for in the Client List, then click the More Information Button, and choose the close you want to review.

From the close

  1. Go to the close date at the top of the close

  2. Select the carrot to the right of the close date

  3. Under Viewing, click into the cell to switch to previous closes


Deleting a Close

To delete a close period:

  1. Go to the Client List

  2. Find the company you are looking for,

  3. Click the More Information Button (arrow in the circle to the left of the client's name)

  4. Scroll to the last column that is visible and click the red trashcan icon for the close period you wish to remove to delete the month-end close

    Only Admin users can delete closes

How can I start a new close before the first of the following month?

To start a new month-end close before the first of the following month, click the More Information button for the client on the Client List, then click Start [next_month] Close.

Missing the 'next month' close button?

If you are not seeing the Start [next_month] Close button, check the client settings and see if the client is set to quarterly. For more on quarterly clients click here: Quarterly Clients


Do tasks copy to new closes?

Yes - When you create a new close, regardless of what month that close corresponds to, the tasks in that close are copied from whatever the latest close is.

So if the latest close is October, tasks copy from October. If the latest close is September, tasks copy from September, etc.
