Configuring users in Keeper

To manage file access and permissions, users can have four different roles within Keeper: Super Admin, Admin, Manager, and Standard User.

The Super Admin is typically the user who created the Keeper account, or the person who first signed up for Keeper. There is only ONE Super Admin allowed per file, while there is no limit to the number of Practice Admins, Managers, and Standard Users per file.

User Permissions

Super Admins

  • Access to Billing within Practice Settings

  • Downgrade admin status for other users

  • All other admin permissions

Admins

  • Access to all clients

  • Access Practice Settings (⚙️ icon)

  • Add clients (top of the client list)

  • Full access to Templates (top of the client list)

    • Task, Email, Report, Text, Resources, and Question templates

    • Ability to add, apply, edit, and delete templates

  • Add client access for Managers & Standard Users

  • Upgrade Standard Users & Managers to Admins

Restrictions

  • Cannot access the Billing tab in Practice Settings

  • Cannot downgrade admin users to Managers or Standard Users

Managers

  • Only review information tied to clients they have access to

    • This includes viewing other employees' tasks and timers

    • Update client access under Practice Settings > Manage Users > Access

  • Access to Templates (top of the client list)

    • Task, Email, Report, Text, Resources, and Question templates

    • Ability to add, apply, edit, and delete templates

  • Access to Firm Tasks

Restrictions

  • Cannot access Practice Settings

  • Cannot access Client Settings (top of the close)

  • Cannot add, delete, or archive clients

  • Cannot delete closes

  • Cannot enable or disable a Keeper Receipts subscription

Standard Users

Restrictions

  • Cannot access Practice Settings

  • Cannot access Client Settings (top of the close)

  • Cannot access or edit Templates

  • Cannot add, delete, or archive clients

  • Cannot delete closes

  • Cannot enable or disable a Keeper Receipts subscription


Adding Users

  1. Click Practice Settings (⚙️ icon)

  2. Click Manage Users

  3. Click Add User


Deleting Users

  1. Click Practice Settings (⚙️ icon)

  2. Click Manage Users

  3. Choose the user you want to delete

  4. Click Delete User


Copying Client Access

To copy the list of clients that a standard user or manager can access:

  1. Click Practice Settings (⚙️ icon)

  2. Click Manage Users

  3. Click Actions (...) in the user's row needing access

  4. Choose Copy client access from


User Settings

All users can access their User Settings by going to the profile icon at the top right of the screen! Within these settings, you'll have access to Account Settings and Client Question options.

With clients added to your subscriptions, Keeper will email you a once-daily summary of all the clients who have answered your questions in the previous day.

Enabling instant notifications means they come right away!


FAQs

Is it possible to transfer the Super Admin role to another user?

You cannot manually transfer the Super Admin role to another user. However, it can be done on the back end by Keeper Support!

Reach out at help@keeper.app if you need to transfer your Super Admin permissions to another user. Only the current Super Admin can make this request.


The Save button is greyed out when I go to add a new user, what's up with that?

If you're adding a user and you're unable to hit Save to finish adding them, there are a few possible reasons this could be happening.

The most common reason for this would be that the user's email address is already active in Keeper. This could mean that they are active in another Keeper account.

You can have another account with the same email, but you need to use a slight workaround. If you add a plus sign in your email address, Keeper will treat the email as unique, while also sending all emails to the same email address. This works because mail clients ignore anything that comes after a plus.

For example, if you have an account under firstname@example.com, you can add another account with the email address firstname+00@example.com, and all emails send to firstname+00@example.com will still go to the firstname@example.com inbox.
