Onboardings are an important part of getting started with a new client in Keeper.

This guide to show you how to use Keeper to onboard new clients to your practice. If you are looking for how to roll out Keeper to your existing clients, you can read more about that here.

TLDR: add them as Contacts and then send them the Intro Email template.


There are four steps to onboarding a new client in Keeper:

1. Add a new client

Once you sign a client, you should add them as a new client in Keeper. You can do this from the Client List by clicking Add Another Client.

If you don't yet have access to their QuickBooks file, that's OK! You can add them as an Unconnected Client, and you'll be able to add their integration later.

2. Apply a Project Template

When you are onboarding a new client, there are tasks that you need to do to get them set up, and requests you need from your client to get started with your work.

Project Templates are the perfect tool for this – they let you add one-off internal tasks and external questions to a client.

When you're setting up your firm, you can create an Onboarding Project Template. Then, when you're onboarding a new client, you can apply this template after you add the client from your Templates tab on the Client List.

Once you apply a Project Template, all Non-Closing Tasks will be added to that client, and all Non-Transaction Questions will be added to their Client Portal.

This will not email your client. To do that, follow step three.

3. Email your client

Once you have applied the Project Template, go to that client's close. Once you're there, click the Client Portal tab and add your client as a contact.

When you're setting up your firm, you can create an Onboarding Email Template that you can send as part of your onboarding process. If you have not yet created one, you can create on by clicking the Client Emails tab and then going to your Email Templates.

Once you have created this template, send it to your client as an email in the Client Emails tab. Once they have the link to their portal, they should be all set to start answering your intake form requests, and you can get started on their books!

4. Turn on reminders

Lastly, once you have sent them their onboarding email, make sure to turn on reminders so they'll get a reminder email about unanswered questions!
